An event for around 50 guests is big enough to need proper planning, but small enough that the venue makes or breaks the experience. The wrong room means people can't see the screen, the microphone cuts out, or the power fails halfway through a presentation. Use this checklist to compare venues and plan a workshop, seminar, product launch or team meeting with confidence.
Step 1: Define your event before you search
Answer these questions first. They decide which venues are even suitable:
- What type of event is it? A talk, a hands-on workshop, a launch, a panel or a networking session.
- How many people are coming? Count guests, speakers, your own team and any vendors. Allow a small buffer for late registrations.
- What is the agenda? Note the start time, end time, breaks, and any sessions that need a different setup.
- Will anyone join online? If so, you need reliable live streaming.
- Do you want photos or videos of the event? Plan this now, not on the day.
Step 2: Capacity and seating layout
A venue's headline capacity usually refers to theatre-style seating, which fits the most people. Other layouts fit fewer. Ask the venue for its capacity in the layout you actually need:
- Theatre style: rows facing the stage. Best for talks, seminars and launches.
- Classroom or workshop: tables with chairs. Best for training where people write or use laptops.
- Cluster or roundtable: small groups at tables. Best for group activities and discussions.
- Boardroom or U-shape: one shared table. Best for small leadership meetings.
Also check that everyone can see the stage and screen without pillars in the way, and that there is space for a registration desk and refreshments.
Step 3: Audio-visual checklist
AV problems are the most common way events go wrong. Confirm each item in writing:
- Screen or display: a large LED display or projector that is readable from the back row
- Laptop connections: HDMI and USB-C, plus adapters for Mac and Windows laptops
- Microphones: enough wireless microphones for every speaker, plus one for audience questions
- Speakers: clear sound that reaches the whole room without echo
- Stage and podium: a raised area so everyone can see the speaker
- Presentation clicker: so speakers can move between slides themselves
- Technical support: a technician on site for the full event, not just for setup
Ask for a short technical rehearsal before guests arrive. Test every speaker's slides, videos and microphones.
Step 4: Internet and power backup
- Wi-Fi: ask whether there is a dedicated connection for presenters and live streaming, separate from guest Wi-Fi.
- Live streaming: if remote guests are joining, check the upload speed and whether the venue can manage the stream.
- Power backup: power cuts still happen. Confirm the venue has UPS or generator backup, and ask whether it covers the screens, sound system and lights.
- Charging points: guests at workshops will need sockets for laptops and phones.
Step 5: Location and access
- Travel time: choose a location that is convenient for most of your guests, and check travel times at your event's start time, not just on the map.
- Parking: confirm how many vehicles the venue can accommodate, and share parking details with guests in advance.
- Directions: send a map link and a landmark with the invite.
- Accessibility: check for step-free access, lifts if needed, and accessible restrooms.
Step 6: Comfort and atmosphere
- Air conditioning that keeps a full room comfortable
- Good lighting for both the audience and the stage, especially if you are filming
- Clean restrooms close to the event space
- A separate area for breaks, networking or phone calls
- A room that matches your brand, since photos from the day will represent your company
Step 7: Food and refreshments
- Does the venue provide catering, or can you bring your own caterer?
- Is there a separate area to serve food so it does not disturb the sessions?
- Plan refreshments around the agenda: a welcome tea or coffee, a mid-session break, and lunch for longer events.
- Ask guests about dietary preferences in your registration form.
Step 8: Timing and booking terms
Read the booking terms carefully before you pay:
- Booking duration: check whether the booking time includes setup and pack-up, not just the event itself.
- Overtime: ask what happens if the event runs late.
- What is included: confirm whether AV, technical support, Wi-Fi, cleaning and furniture setup are part of the price.
- Payment and cancellation: check the advance payment, the balance due date, and the rules for rescheduling or cancelling.
- Site visit: always visit the venue before booking, ideally at the same time of day as your event.
Step 9: Build your budget
List every cost so there are no surprises:
- Venue rental
- Audio-visual equipment and technical support
- Food and refreshments
- Photography, video and live streaming
- Printed materials, signage and branding
- Speaker fees, travel or gifts
- A contingency of around 10% for last-minute changes
Step 10: Capture the event
An event lasts a few hours, but good content from it can work for months:
- Photos: speakers, the audience, networking moments and your branding
- Session recordings: full talks and panels to share with people who could not attend
- Highlights video: a 60–90 second edit for social media and your next event invite
- Clips and podcasts: short clips from key moments, or turn a panel into a podcast episode
Book this in advance, because good coverage needs planning around the agenda and the lighting.
Event-day checklist
- Arrive early for setup and a technical rehearsal
- Test every presentation, video and microphone
- Check the Wi-Fi and live stream
- Set up registration, name badges and signage
- Brief your team on roles: registration, speaker support, guest questions
- Keep a printed agenda and contact list for vendors and speakers
- Share the Wi-Fi details and any hashtags with guests
After the event
- Send a thank-you message to guests with photos, slides or recordings
- Share highlights on social media and tag your speakers
- Collect feedback with a short survey
- Follow up with leads within two or three days, while the event is still fresh
